Managing agents hold client money, bank details and the keys to people's homes. Noviqent Estates is built around clear controls for each of them.
Hosting and data
- Noviqent Estates and its data are hosted in the UK.
- Bank details and key-safe and door access codes are encrypted at rest.
- Each agency's data is kept separate from every other agency's.
- Noviqent Ltd is registered with the Information Commissioner's Office (ZC225920).
Access and sign-in
- Admin, manager and accounts roles decide what each team member can see and do.
- Residents, directors and contractors see only their own buildings and records.
- Sign in with email and password or Google; your team can also use Noviqent single sign-on.
- Sign-in and public forms are protected by reCAPTCHA.
Money controls
- Payment runs need two people: one to prepare and one to approve.
- Invoices above a limit you set go to a director for approval.
- A call-back check is required whenever a contractor's bank details change.
- Residents pay through GoCardless by Direct Debit or instant bank payment.
Keys and access
- Keys and access codes are released only after an ID check.
- Every code reveal is logged against the person who viewed it.
Audit trail
- Every change is recorded with who made it and when.
- The trail is there whenever a director, client or auditor asks.
Checks before work and payment
- Contractor insurance is checked before a job is instructed.
- Work is inspected and signed off, on site or by photos, before its invoice can be approved.
